Roles:

  • Perform daily administrative activities and submit accurate reports pertaining to the job assignment.
  • Provide administrative and clerical support to departments or individuals.
  • Coordinate with departments / sections in collecting and disseminating information as required.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO,
  • Ensures all information related to the department is transmitted without delay.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff,
  • Manage all aspects of organization’s office services.
  • Prepare agenda for meetings, schedule meetings, attending committee meeting, and taking minutes and arrange conference rooms.
  • Alert manager about cancelations or new meetings.
  • Handle information requests.
  • Greet and receive visitor.
  • Maintain full confidentiality on all subjects handled.
  • Determine matters of top priority and handle accordingly.
  • Plans events and volunteer activities.
  • Maintain office procedures.
  • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
  • Coordinate committees and task forces.
  • Relay directives, instructions and assignment to executives.
  • Receive and relay telephone messages.
