    Position Overview:

    As a receptionist at huna, you will play a vital role in creating a welcoming and efficient environment for our members and visitors. Shred Working Spaces is a shared coworking space that provides a collaborative and productive work environment for professionals and entrepreneurs. As the receptionist, you will be responsible for managing the front desk, greeting visitors, handling inquiries, and ensuring smooth operations within the coworking space.

    Key Responsibilities:

    1.Greeting and Welcoming Members and Visitors: Provide a warm and friendly welcome to all members and visitors, ensuring they feel valued and comfortable. Assist with check-ins, and provide necessary information about the coworking space.

    2.Managing Communication Channels: Answer and direct incoming phone calls, emails, and other inquiries promptly and professionally. Relay messages accurately and ensure effective communication between members and staff.

    3.Front Desk Operations: Maintain a well-organized and professional front desk area. Keep track of visitor sign-ins and assist with general administrative tasks.

    4.Member Support: Act as a point of contact for members, addressing their inquiries, concerns, and requests. Provide information about available amenities, events, and services offered by Shred Working Spaces.

    5.Facility Coordination: Coordinate meeting room bookings, ensuring seamless scheduling and proper setup of meeting spaces. Assist with troubleshooting audiovisual equipment and other technical issues.

    6.Community Building: Foster a sense of community among members by organizing and promoting networking events, workshops, and social activities. Encourage collaboration and engagement within the coworking space.

    7.Health and Safety: Maintain awareness of and enforce safety and security protocols, including monitoring access to the premises and ensuring compliance with health and safety regulations. Respond appropriately to emergencies or incidents and escalate as necessary.

    8.Administrative Support: Assist with administrative tasks such as data entry, filing, and maintaining member records. Support the team with general office duties, including ordering supplies and managing inventory.

    9.Collaborative Approach: Work closely with the operations team to ensure smooth operations and address any member concerns or issues. Collaborate with other staff members to maintain a cohesive and positive working environment.

    Qualifications and Skills:

    • High school diploma or equivalent; additional certification in office administration or customer service is a plus.
    • Previous experience in a receptionist or customer service role is preferred.
    • Excellent interpersonal and communication skills, with the ability to interact effectively with a diverse group of individuals.
    • Strong organizational and multitasking abilities, with a keen attention to detail.
    • Proficient in using standard office equipment, including phone systems, computers, and relevant software applications.
    • Positive attitude and a customer-centric approach.
    • Ability to maintain composure in a fast-paced environment and handle challenging situations with professionalism and empathy.
    • Familiarity with coworking spaces or the hospitality industry is advantageous.
    • Flexibility to work varying shifts, including evenings and weekends, based on operational needs.
