    Summary:

    To Plan and Manage all maintenance activities across SADAFCO sites which are related to Facilities, i.e. Offices, Warehouses, Cooling Units, and Utilities; in addition to Workshops which includes, Vehicles, MHEs, and Refrigeration Units in accordance to maintenance policies, procedures, work instructions and safety precautions.

    Act as the project manager for any projects taking place in the region, may it be renovations, expansions, or new projects, wither related to Facilities or Workshops.

    Key Accountabilities:

    1. Maintenance & Repair
    • Plan and implement preventative maintenance inspections, repairs, services and attend breakdowns related to both fleet and facilities.
    • Ensure all work arising from inspections are properly planned and completed.
    • Verify all work done by the team so as to ensure that the fleet and facilities are maintained to a state of operational wellness.
    • Ensure all regional fleets are updated and having valid MVPI.
    • Plan, implement and manage MVPI operations across the Region.
    • Accident handling and coordination with insurance.
    • Ensure adequate maintenance of tools, equipment, and other materials in the Service Area.
    • Responsible for the repair and maintenance of market freezers, chillers inside depot and in market
    • Responsible to maintain cold chain for products like frozen at -25 °C and others a 5 °C across the region in SADAFCO's cold stores, vehicles, and market freezers.
    • Ensure daily check-up and inspections are being performed on all equipment under the supervision as per QAD/Fleet management system. Such inspections should be verified in QAD.
    1. Work Scheduling
    • Schedule the work for preventive and corrective maintenance including inspections as per the priorities set by the Facilities & Workshops Manager.
    • Schedule the work for preventive and corrective maintenance and inspections on operational fleet based on the priority set by the Facilities & Workshops Manager and company Policy.
    • Ensure that the terms and conditions of all 'Vehicles-Under-Contract' are upheld and reported on.
    • Arrange planned depot visits so as to ensure proper maintenance are being performed on vehicles and facilities.
    • Ensure optimum control over workload and tasks assigned to depot technicians.
    • Ensure comprehensive Project Management reporting for all listed projects.
    • Ensure a work-balance is kept between routine and project work.
    • Ensure accurate ERP handling in QAD for job cards, work orders and inventory control.
    • Responsible for job allocation and job flow for market freezers, chillers including job scheduling and team allocation for day-to-day operations.
    1. Budgeting & Cost control
    • Plan and prepare annual budget data for the region, scheduling expenditures, analyzing variances and initiating corrective actions. Follow up closely during implementation.
    • Monitor and control the costs for maintenance & repair of the Regional Workshop and depots, according to procedures and approved budgets.
    • Ensure that SADAFCO financial commitment to suppliers are kept within agreed terms of payment and approved credit limits.
    • Ensure a Supplier Statement of Accounts (SOA) process in maintained for all Key Suppliers under the responsibility.
    • Effectively manage SADAFCO's suppliers/service providers to ensure a prosperous relationship, and high maintenance of service-levels.
    1. Spare Parts & Materials
    • Effectively manage the procurement of spare parts, and services.
    • Ensure the up-keep and monitoring of the required parts stock levels and materials by using the inventory control systems so as to ensure balance between availability and cost.
    • Ensure that only approved suppliers are being used.
    • Conduct periodic cycle-counts to ensure the accuracy of stock levels
    1. Safety, Health, Environment & Quality
    • Ensure the work is done according to the procedures and instructions for safety, health, environment and quality in order to keep up with the company standards and personal safety.
    • Ensure continuous staff development in the area of Safe Work Practice.
    • Ensure staff has easy access to all required safety gear. Report of any misuse of the safety gears.
    • Ensure that workplace safety is a regular and scheduled topic in workshop meetings. Records on such topics should be kept.
    • Ensure that workplace area is kept clean and presentable, and that proper documented evidence are kept for all disposed waste and redundant assets.
    1. People Management & Training
    • Ensure that the required number of people are hired, with the correct skill set, and that appropriate people management processes are followed in line with SADAFCO's HR policies that would enable the team to deliver the required day-to-day outcomes.
    • Conduct periodical 1:1: meetings with all team-members to ensure that people are highly motivated for their job, and that their issues/concerns are being addressed.
    • Ensure workshop staff are properly trained for the work by providing on-the-job training and ensure that the team attends all formal training courses.
    • Staff Training and development records should be maintained in co-ordination with the Training and Development department.
    • Ensure all Individual development plans are drawn up, discussed and records of individual progress is maintained.
    1. Administration and Reporting
    • Ensure that the maintenance downtime and reporting system are being attended to and the status updates to the system are done continuously and in accordance with procedure.
    • Ensure that QAD data and queries are resolved timely, and that the system is used for the purpose on asset management.
    • Keep the records and logs for all car maintenance and repair, handle the renewal of car registration and ensure correct reporting according to procedures and instructions.
    • Ensure proper data-management in the use of Fleet transportation is being applied.
    • Ensure all financial and people transactions are channeled via the system.
    • Ensure adherence to Lease Car Procedure
    • Ensure a clear Vehicle LOG is maintained for all 'Pool' vehicles.
    • Ensure regional adherence to Lease Car Procedures and apply lease car supplier control (Technical support only)
    • Be available for temporary assignments in any region and at any depot as the need arises.
    • Ensure adherence and full understanding of all vehicles maintenance contracts that are active in the region.
    • Ensure that an annual regional strategy document is prepared and submitted to Facilities and Workshops Manager, clearly outlining the areas of improvement that is required. Such document need to be supplied in November of each year. This will be used as guide the process of Capital Budget Formulation and Project Improvement.
    1. Equipment and Drawings
    • Maintain and replace all maintenance tools and equipment as per equipment maintenance manual.
    • Maintain records of technical drawings and assist in commissioning of any new equipment as and when required.
    • Maintain master drawing database reflecting approved vehicle and branding status (Technical support only).

    Job Requirements

    • Educational level: Bachelors Degree in Engineering or similar
    • Minimal experience: 5+ years of relevant experience in a in similar job as a workshop manager or minimum 10 years experience at a manager level in a similar industry
    • Certified by the Saudi Council of Engineers
    • Should have basic understanding Project Management Principles.
    • Specific diploma/education: Should have had an experience in vehicle maintenance & repairs
    • Languages: Fluent in English and Arabic
    • Facilities experience would be an added advantage.
    • Computer literate with a solid understanding of Microsoft applications.
