    The FacilitiesCoordinator will be responsible to the Facility Operation andMaintenance Lead, for the day-to-day operations and maintenance ofall Technical Institute facilities and infrastructure, providingoversight of all maintenance or construction and ensuringactivities are conducted safely and in a timely manner. Regularlyengaging with a diverse group of internal and externalstakeholders, this role requires effective communication toTechnical Institute staff, Qatar Armed Forces, Al Udeid entities(e.g., Base maintenance and utility services) and externalsuppliers and specialist contractors. The Facilities Coordinatorwill support the Facility Operation and Maintenance Lead inmaximising the availability of the TI facilities and ensuring allactivities conducted within the Technical Institute are compliantwith the appropriateregulations.


    Thekey responsibilities of the Facility Coordinator are:

    Support theproduction and implementation of comprehensive building andequipment operation and maintenanceschedules.

    Ensure allPlanned Preventative Maintenance tasks are scheduled and documentedin accordance with manufacturers guidance and conducted on time toretain any warranties, ensure any reactive maintenance/repair tasksrequired are reported and rectified in a timelymanner.

    Respond toissues and concerns raised by Technical Institute staff, providingfeedback on the progress of anyresolution.

    Monitoring theInstitutes fault reporting system including the logging of all jobsreceived and updating recordsaccordingly.

    Co-ordinatingworkflows and escalating any issues, as required to the FacilityOperational and MaintenanceLead.

    Support theProject Management Team in providing supplier solutions against anyTechnical Instituteissues.

    Raising purchaseorders where required, supporting procurement initiatives,monitoring the contractor sdatabase.



    Consulting withinternal and external Technical Institute service providers,suppliers, and contractors for coordination of works programmes,deliveries, and informationrequests.

    Monitor allworks conducted by internal maintenance teams and specialistexternal contractors to ensure quality and all works are conductedto a suitably safe standard, this includes where necessary ensuringall spare parts used comply with manufacturers O&Mmanuals.

    Maintaining theInstitutes Facilities Management files, including scanning and/orsaving service sheets, works requests, maintenance records andcertificates, maintaining records of the Institutes facilitiesmanagement activities where applicable and kept in line with theTechnical Institutes document configuration and controlpolicy.

    Liaise withDesign Authority to ensure all technical drawings, to ensureupdates are included in alldrawings.

    Support theproduction of reports O&M activities foranalysis.

    Assist with theplanning and delivery of Technical Institute events, requiring FMsupport such as VIPvisits.

    Recording of allSafety Inspections and Audits in conjunction with BAE Systems SHEfunctions and Technical Institute SHEadvisor.

    The rolewill support Continuous Improvement (CI) activities and developmentof Customer Satisfactionmetrics.



    Requirements

    Essential:

    FoundationDegree or equivalent, or suitable experience, in atechnical/engineeringdiscipline.
    ExcellentEnglish, both spoken andwritten.
    Excellentcustomer care skills, communication skills and peopleskills.
    Ability to workindependently, to show initiative and to organiseeffectively.
    Ability to workunder pressure and meetdeadlines.
    Comprehensiveknowledge of Facility, Construction and Health and Safety laws andregulations.
    Exceptionalunderstanding of reading technicaldrawings.
    3years experience in a Facility Management/Contractor Managementrole, orsimilar.
    Workingknowledge of one or more of the following: Fire Alarm Systems,Security
    Systems, AC Systems, UtilitiesSupply.Ability tosafely work autonomously, with minimalsupervision.
    Computerliterate with experience of Office (Word, Excel, & PowerPoint) & othersystems/databases.
    Ability tomanage and prioritize a high and complex workload with excellenttime management, planning and organisationalskills
    DrivingLicense.
    Prepared to workflexible hours as certain situations maydictate.

    Preferred:

    Experience in atrainingenvironment.
    Experienceworking within a Military setting or with a Militarycustomer.
    Written andspokenArabic/Urdu
    Knowledge of CADor similar systems is anadvantage.
