    JOB PROFILE/MISSION :

    Responsible for overseeing the day-to-day operations and maintenance of an administrative building. This role involves managing a team of staff members, ensuring the building is properly maintained, and coordinating with various departments and vendors to support the smooth functioning of the facility. The Administrative Building Supervisor plays a crucial role in maintaining a safe, clean, and efficient work environment for employees and visitors.

    BRIEF JOB RESPONSIBILITIES/DUTIES:

    • Supervise and coordinate building operations, including maintenance, repairs, security, Cleaning, hospitality, and janitorial services.
    • Oversee daily duties of subordinates and ensure procedures are being followed, Coordinate employees work schedules and duty assignments and monitoring their performance, Give guidance to employees in handling errors, problems, complaints, etc.
    • Develop and implement operational procedures and protocols to ensure efficient building operations.
    • Monitor and maintain building systems, such as HVAC, electrical, plumbing, fire safety systems and water, to ensure they are functioning properly.
    • Oversee the inspection and maintenance of equipment and systems within the building Ensure compliance with health and safety regulations and building codes.
    • Ability to identify defects in electrical and mechanical building equipment and fixtures and to determine necessary repairs.
    • Coordinating with contractors and other outside parties to ensure that all duties are completed on time and within budget.
    • Develop and implement emergency response plans and procedures.
    • Conduct regular inspections to identify potential safety hazards and take appropriate corrective actions.
    • Coordinate with relevant authorities for inspections and permits as required.
    • Collaborate with management and other departments to identify facility needs and plan for future requirements.
    • Participate in the design and implementation of building improvements or renovations.
    • Monitor and evaluate the effectiveness of implemented changes and recommend further improvements.
    • Serve as a point of contact for building-related issues and inquiries.
    • Prepare and submit reports on building operations, maintenance activities, and any incidents or emergencies.
    • Maintain records and documentation related to building operations, repairs, and inspections.
    • Manage the company's vehicle, including scheduling maintenance, tracking usage, and coordinating repairs.
    • Record and maintain accurate documentation of vehicle maintenance and repairs.
    • Ensure compliance with applicable regulations and licensing requirements for company vehicles.
    • Prepare reports on vehicle utilization, fuel consumption, maintenance costs, and any incidents or accidents involving company vehicles.
    • Manage fines and penalties related to building operations and vehicles, including tracking, documenting, and resolving any violations or non-compliance issues.
    • Coordinate and oversee planting initiatives, including the selection, procurement, and planting of trees, shrubs, flowers, and other vegetation on the premises.
    • Coordinate and oversee pest control treatments, including the application of insecticides, or other appropriate methods, in accordance with safety guidelines and regulations.
    • Manage and optimize the company's parking facilities, both indoor and outdoor, to ensure efficient and organized parking for employees, visitors, and guests.
    • Develop and implement comprehensive cleaning protocols and schedules to ensure a clean and sanitary environment throughout the premises.
    • Conduct regular inspections to ensure cleanliness standards are met and maintained throughout the premises.
    • Manage and maintain the GPS tracking system for company vehicles or assets, ensuring accurate and efficient tracking and monitoring

    REQUIREMENTS NEEDED FOR THE POSITION:

    • Diploma or equivalent; bachelor's degree in facilities management, electrical engineering, or a related field is preferred.
    • (5 years) of Proven experience in facility management, building operations and maintenance, with 2 years in a supervisory role.
    • Knowledge of building systems, codes, and regulations.
    • Strong leadership and team management skills.
    • Excellent organizational and problem-solving abilities.
    • Effective communication and interpersonal skills.
    • Ability to establish and maintain effective working relationships with employees and departments.
    • Proficient in using computer software and building management systems (BMS).
