Is Your Desk Messy?
Ever seen an office desk…all littered with papers, piled up files here and there, some unstapled, loose papers, sometimes keyboard resting on a stack of papers, pens and pencils lying around like cigarette butts, coffee mug somewhere on the muddled space, everything is there but lost somewhere.
Perhaps, the only visible thing is hooked up computer with wires running, like underground cables, below disorderly documents. O, then, there’s corded desk phone lying somewhere on a tilted surface and cell phone coupled with wallet or bunch of keys securely cornered somewhere.
Why people keep their office desks messy is understandable. Either it’s their lethargic attitude or plainly they’re convenient with untidy, disorganized workspace.
But, the big question is that are they capable enough to focus on work priorities and remember well which document is kept where?
I remember a manager who always made a mess of his office desk. Every document, file or folder used to lie on his table…sometimes he used to shuffle loose papers like playing cards. Instead of categorizing all that stuff and ordering his secretary to file it, he simply preferred to stack everything on his table.
What then? Periodically, twice a year, he used to mop away everything off his table…and without giving a second opinion, he used to flip some documents to waste bin, some he used to put into a shredder and rest he used to stack somewhere in his table drawers. That day he used to take delight in simple look of his workspace…empty paper trays, an elegant almanac, a slim pen stand, a stapler and few papers to give a false impression that there’s something of importance for some urgent errand.
Oftentimes, we come across people who deliberately keep their office desks all disordered…all things piled up and they know well which particular document lies where. Perhaps, with their cluttered desks, they try to show off how busy and productive they are, with loaded work.
When one can organize his workspace using few simple steps, then any delay to tidy up things is just laziness.
Just in case, if there’s any significant audit or big bosses making a trip on office corridors, then everyone would hurriedly clean up their messy documents and things from their office desks…filing some, discarding some and masking some. Honestly, that’s not the right way.
The truth is that, in workplaces, when everything is sorted, organized, filed and placed in specific trays or shelves, then it becomes easier to find anything anytime, without wasting time. Similarly, for a quick access on a PC or laptop, documents can be saved, scanned, with sensible file names and placed in structured folders and sub-folders.
Saving somewhere in unrelated folders or giving improper file names will only complicate things. Does it make any sense when you download a file, save it somewhere and at the end not finding on time you bother someone to find it?
Strangely, besides chaotic office desks, some people carry on their idle ways to toss box files on office floor spaces. Perhaps, everything they wish to have at their vicinity, instead of placing those files in cabinets. Some even store snacks, biscuits, dry nuts instant coffee and flavored tea in sachets and odd and vain objects in their desk drawers and side cabinets.
Once, I heard from a person that his ex-boss diligently keeps his spacious office desk downscaled, organized and tidy. He immediately recognizes the intrusion, if someone messes up his office.
To have a glimpse of his unruffled office is like getting impressed by the order and balance of things kept appropriately and neatly.
