Avesta Group is looking for an _experienced _
Production and Operations Expert to support to our client with the successful delivery of all creative projects, festivals, and special events within the regions of AlUla, and sister oases regions Khaybar and Tayma.

This is a senior level requirement that requires extensive expertise in the project planning and monitoring processes.

This person is responsible for the completion of the projects on time, on budget and to the agreed deliverables, supervising all day-to-day requirements of third-party vendors and suppliers for each project required.


Avesta is looking for a self-starter who is organized and resilient, with the ability and skills to balance time sensitive projects and work with meticulous attention to detail on innovative and highly creative projects.

Along with the required skills, it is crucial that this individual has a positive attitude, prioritizes work, and adheres to timelines.


Strategic Responsibilities

  • Works directly with the client in the culture team to deliver the department's event calendar, whilst staying true to the organisation's vision and values
  • Implement a project management organizational structure to maintain efficiency within the team and thirdparty vendors and partners
  • Develop standard operating procedures and processes for implementation and delivery of projects inline with operational guidelines for working in UNESCO World Heritage Sites and the event strategy.
  • Manage full project calendar and team deliverables
  • Remain actively aware of all projects passing through the department with the ability to intervene, support and assist if necessary
  • Develop a master critical path that encompasses and highlights key milestones across the entire department, identifying strengths and weaknesses where required
  • Identifies key priorities, action points and deliverables critical to the overall objectives of the event calendar
  • Monitors individual project progress and prepare status updates and reports for leadership and stakeholders.
  • Responsible for the project planning to accomplish agreed KPI or to produce the events within constraints such as time, cost and agreed quality standards.

Operational Responsibilities

  • Develop project critical paths integrating internal functional departments and responsibilities with detailed timelines and follow up procedures
  • Plan and coordinate all projects in accordance with other teams, internal personnel and suppliers
  • Manage project budget and ensure no compromise in terms of quality and creative concept
  • Work closely with Procurement in negotiating supplier proposals and securing appointment of services
  • Responsible to bring projects to a close, which may include creating an end of project report or evaluation document and capturing key events as part of knowledge management
  • Integration and coordination with AlUla, Khaybar and Tayma venue and visitor centre teams and other site venue operations teams to ensure seamless delivery
  • Management and integration of thirdparty contractors for the delivery services required for calendar of events, including feedback on dry runs, rehearsals and quality control
  • Oversee the value stream to ensure operational excellence, engagement from suppliers and project delivery improvements are achieved.

People Responsibilities

  • Manage 5 agencies across the Events Calendar
  • Support the team with the planning & allocation of projects
  • Day to day management of the project calendar; developing, mentoring, motivating and driving a team and agency ethic/spirit in their workload and output.
  • Liaise on a regular basis with the project teams to ensure that everyone is informed of latest developments and requirements
  • Embed the culture and vision of the client into the project teams through performance management, feedback and coaching.
