Job Objective:
A Project Coordinator for a seating and events company is responsible for assisting in the planning, organization, and execution of various events that require seating arrangements.
This role involves collaborating with clients, vendors, and internal teams to ensure that events run smoothly and all seating-related aspects are well-coordinated.
Key Responsibilities:
- Collaborate with clients to understand their seating requirements and preferences for different types of events (conferences, weddings, corporate gatherings, etc.).
- Assist in creating seating layouts, diagrams, and plans tailored to each event's specifications.
- Coordinate with various internal departments (logistics, design, operations) to ensure all seating requirements are met.
- Serve as a point of contact for clients, addressing their inquiries, concerns, and seatingrelated requests.
- Maintain clear and professional communication throughout the event planning process to ensure client satisfaction.
- Coordinate with vendors (furniture rental companies, decorators, audiovisual providers, etc.) to source the necessary seating equipment and materials.
- Negotiate contracts, pricing, and terms with vendors to ensure costeffective solutions.
- Oversee the logistics of seating setup and breakdown at events, ensuring that seating arrangements are executed accurately and efficiently.
- Supervise onsite teams responsible for setting up seating, including layout arrangement, chair placement, and overall aesthetics.
- Identify and resolve any seatingrelated issues or challenges that arise during the planning and execution phases.
- Adapt quickly to unexpected changes in seating arrangements or event plans.
- Maintain accurate records of seating plans, layouts, and event details for reference and future improvements.
- Generate reports summarizing seatingrelated aspects of each event, including feedback and recommendations for improvement.
- Ensure that all seating arrangements meet quality and safety standards.
- Conduct thorough inspections before and during events to verify that seating setups align with client expectations.
- Collaborate with other event team members, such as event planners, designers, and technicians, to ensure seamless integration of seating plans with overall event design and functionality.
- Manage multiple projects simultaneously and meet deadlines for various stages of event planning and execution.
- Stay updated with industry trends, innovations, and best practices related to seating arrangements and event coordination.
- Seek opportunities to enhance the company's processes and services related to seating and event planning.
Required Skills/Abilities:
Personal
- A naturally organized and methodical person with strong administrative skills
- An eye for detail.
- A willing attitude and an enjoyment of hard work.
- Availability to work longer hours if required.
- Excellent communication skills.
Technical
- Computer literate, with strong MS Office skills
- Knowledge of drawing and reading in CAD.
- Ability to read workshop drawings and communicate technical ideas.
Education and Experience:
- High school graduate. Driving License is preferred.
- 5+ years' experience in suitable business, interiors, events and or exhibitions etc.
