Job Summary:

Key Role:

  • Coordinate and ensure the CEO office functions pertaining to the duties of the CEO run smoothly and efficiently on a daily basis.
  • Act as a central point of contact between the CEO and other divisions, ensuring they have the right information at the right time.
  • Coordinate CEO's meetings, and oversee the reception of visitors, personally as needed, and supervise staff answering calls to the office ensuring messages are noted and filtering those to be presented to the CEO.
  • Manage the CEO's agenda, updating appointments, contacting concerned parties, and manage communication and correspondence between the CEO and other parties internally and externally.
  • Review incoming correspondence, study reports received, check and compare with previous reports or other data, and bring to the attention of the CEO significant items, changes, errors or omissions.
  • Implement policies and procedures for production of documents, work flow, filing, ordering of supplies, records maintenance, and other services relevant to the CEO's office duties.
  • Initiate replies as appropriate; track matters requiring action by other employees in QCC and follow up to ensure actions are completed and ensure accurate drafting of letters and official correspondences to concerned parties for the CEO.
  • Overseeing the organization of CEO travel arrangements, and keep a log of and reminding the CEO about important activities to be undertaken to ensure the optimization and best utilization of the CEO's time.
  • Build and maintain good relationships with peers and key stakeholders presenting a positive image for QCC's organizational culture and mindset.
  • Oversee government relation activities related to the CEO's office including the issuance of visas and other official documentation ensuring swift and effective fulfillment of needs.
  • Perform other duties as requested by CEO.

Qualifications:

  • University degree in Business studies or a relevant discipline.
  • Must be fluent in English and Arabic.

Experience:


  • 10+ years' experience in office management with at least 3 years in senior executive secretarial role.
  • Solid understanding of senior executives office management techniques.

Skills:


  • Effective oral and written communication & relationship management skills and fluency in English.
  • High Level IT skills
  • ERP, MS Word, Excel, PowerPoint and flowchart packages
