Document & Information Management Manager to join our team


Responsibilities:


  • Develops the document management standard procedures, processes, protocols, and systems (e.g., Document Numbering System, Document Classification, Formatting Themes Archiving Structure,..etc.) as needed for both the QDP and Projects levels.
  • Coordinates the flow of documents between the QDP, projects operations, engineering disciplines, construction teams, or other department groups.
  • Develops data/document distribution system Roles and Responsibilities Matrix (RACI), and confidential data/document system considering the project organization structure for the QDP and projects levels
  • Develops all document management Workflows, Templates, Forms, Reports, and Tracking logs. Distributes all developed templates to QDP and Projects to be used during the project lifecycle.
  • Plans, organizes, and implements systems for efficient document processing of all communications, design documents, construction documents or other internal or external documents.
  • Collects/analyses requirements, provides suggestions, offers solutions and participates in decision making activities relating to Project Management System's needs.
  • Supports the selection, design, implementation, operation, and maintenance of the Project Management System. Drives full compliance to the Project Management System regulations and requirements for both the QDP and projects level.
  • Design/Develop and implement forms, workflow and reports Project Management System which is typically either Oracle Unifier, PMWeb or Aconex, or any other system.
  • Supports/shares other managers in defining and creating their requirements list, workflows, forms, and reports.
  • Develops and implements a process for onboarding Program stakeholders to ensure that they are fully understanding all Project Processes, Procedures, and Project Management System principles. Provides users trainings and develops user manual.
  • Identifies opportunities for improvement for the document management processes, procedures and systems. Takes the lead to implement any approved improvements, particularly in terms of efficiency.
  • Makes gradual site visits, provides technical support, assures systems compliance, makes audit sessions, and addresses conformity reports.
  • Ensures that all document control team understands/applies the predeveloped document management requirements (e.g., which numbering system to be applied, which workflow to be used, approval process durations, etc.).
  • Sets up the project reporting system, improvement measures and performance indicators (KPIs) related to data/document management and prepares status reports. Establishes several levels of reports/dashboards to report the project status to the managements.
  • Manages the data/document management team members (Big Teams), provides guidance, and improves their skills for the QDP and projects teams.
  • Provides professional communication, Interfaces with the client, prepares professional presentations and attending meetings.
  • Directs and Delegates the data/document management work activities to the teams' members, mentoring them and helping them achieving their targets.
  • Contributes as a team player who is deadline driven and works well with others.
  • Performs other responsibilities associated with this position as may be appropriate.

Qualifications:


  • Bachelors in Information Technology/Construction Management or any relevant discipline.
  • 17+ years of relevant work experience of which 12+ years in similar mega projects.
  • Previous Experience as a QDP member is a must.
  • Proven Experience in project management systems selection, development, implementation, operation, and administration.
  • Proficiency in Oracle Aconex System is a must and in others is an advantage.
  • Proficiency in MS Office with expertise in Microsoft Word, Excel and PowerPoint.
  • Full understanding of Engineering, Construction and Project Management as well as Office/Site business processes and Workflows.
  • Good written and oral communication, organizational, and interpersonal skills, as well as the ability to interact effectively with project personnel and top management.
  • Both languages English and Arabic language are mandatory for the job.
