    JobSummary

    Thesuccessful candidate will perform a variety of secretarial /administrative functions for the project and coordinate the flow ofdocuments between project operations, engineering disciplines,construction team or other departmentgroups.

    Receives, tracks, and monitors documents using standard documentmanagement programs to register documents, maintain databases, andproduce logs, transmittal, and other reports asrequired.

    Maintains employee directory and related data pertaining toemployees assigned to the unit, including company resumes. Trackspaid-time-off hours charged and maintains schedule of future hoursto be taken.

    Originates correspondence and reports not requiring the personalattention of immediate supervisor. Answers telephone, taking andrelaying messages. Receives, sorts, and distributesmail.

    Ensures that pre-established document control requirements aresatisfactorily met throughout the projectduration.

    Maintains an established data distribution system and schedule forthe assigned project based upon client, project, department, andsupplier requirements. When needed, he/she will expedite review,signature approval, and release of supplier and internally produceddocuments.

    Performs other responsibilities associated with this position asmay beappropriate.

    Gathers statistics and general data reviews and combines thisinformation into established reports for use within and outside theunit. May develop new reports or revise existing reports, asdirected. Such reports may be in spreadsheet or graphical formats,or narrative-style word processing. May be responsible forverifying data gathered, such as matching supplier invoices againstfile copies. Distributes reports as directed by immediatesupervisor.

    Reviews time reports to verify accuracy of hours worked andJob#/WBS charges. Follows up to ensure timely processing ofcorrections.



    Requirements

    Qualifications

    Working knowledge of MS Office and related word processing,spreadsheets, and databasesoftware.

    Proficiency in the use ofAconex.

    Diploma in related discipline and at least 7 years ofsecretarial/document controlexperience.

    Good written and oral communication skills inEnglish.

    Highly organized, pro-active and can work with minimalsupervision
