    Therole

    JobPurpose

    The Office Manager is acritical role for the Riyadh office with the responsibility ofmanaging a large business operations team that delivers a range ofkey business services including administration and secretarialfacilities and front of house.

    The role isresponsible for the Riyadh office and works closely with theGeneral Manager and wider business services team to ensure thesmooth running of operations.

    Clients sit at theheart of our global strategy and increasingly business servicesplay a vital role in delivering an exceptional client experience.The Office Manager will proactively identify opportunities wherethe business operations team can add value.

    OurBest Delivery programme is focused on driving value for our clientswhich for this role means working closely with their team tochampion continuous improvement and embrace new ways ofworking.

    KeyResponsibilities

    TeamManagement

    • Responsible forthe recruitment management development and retention of the fullbusiness operations team.
    • Managing service quality through ongoing feedback from keystakeholders resolving any issues as they arise and developing bestpractice and facilitating continuousimprovement.
    • Act as abroker between the business operations team and the wider businessservices team to ensure minimum regulatory or policy standards arebeing adhered to.
    • Bringtogether the business operations team to identify and adopt ways ofworking that support the Best Deliveryinitiative.

    Projects

    • Coordinate with key BestDelivery stakeholders across the Firm on global projects providingnecessary resource and ensuring involvement and progress ofprojects to completion.

    Office Management

    • Work withHR team on the logistics of onboarding all new joiners includingthe trainee intake.
    • Responsible for the compliance with Health and Safetypolicy.
    • Coordinateongoing seating allocation and floor plan management ensuringhealth and safety ofemployees.
    • Upon requestinitiate ergonomic work stationassessments.
    • Coordinateand manage service provision with other service providers includingdocument production print room and print services courier servicesand services provided by the global shared service centre(GSSC).
    • Manage the localrelationship with the firms travel providerDanata.
    • Manage allfacilities in the office including kitchen washroomsworkspace.
    • Manage allbusiness operations including reception drivers shifts clientdocuments delivery.
    • Responsible for office events securing the right vendor forcatering.

    Facilities andAdministration Management

    • Acting as a champion that is responsible for the designcommunication and monitoring of the environmental performancepractices.
    • Key point ofcontact for office Landlords on contractual and policy compliancerenovation and maintenancework.
    • Manage staffaccommodation and lease agreements for office apartments andcars
    • Manage the cost andquality of catering supplies across bothoffices.

    InvoicingBudgeting and Reporting

    • Monitoring and sign off of all invoices from business servicesrelated suppliers ensuring compliance to currentcontracts.
    • Together withthe Finance Department and the GM prepare yearly budgets andquarterly forecasts other cost analyses and investment proposals asneeded.
    • Report tostakeholders on key performance indicators and benchmarks alignedto business priorities.

    Yourexperience

    Experience:

    • Significantexperience both managing and leading a largeteam.
    • Experience ofworking with a diverse stakeholder group based locally andglobally.
    • Ideallyexperience working in a legal or professional servicesenvironment.

    Skills:

    • Excellent verbaland written communicationskills
    • Organised andproactive.
    • A positiverole model leader andmotivator.
    • Proven abilityto:
      • Develop strong working relationships withand influence senior stakeholders as well as influencing at alllevels.
      • Focused on providing outstandinginternal and external client service.
      • Strongtechnical team management experience.
      • Experience managing complex operational issues working closely withprocurement and travel teams both regionally andglobally.
      • Proven experience in acting as abridge between all teams and stakeholders.
      • Experience of managing customer engagements and expectations andable to quickly establish credibility with clients colleagues andsenior management.
      • Evidence of working in ahighpressured operations environment.
      • Discretion and reliability.
      • Excellent timemanagement skills.
      • Enthusiastic selfmotivatedflexible and adaptable.
      • Thorough workingknowledge of Word PowerPoint Excel Access andOutlook.
